This client is a growing real estate brokerage specializing in residential and commercial property sales. Their success depends on fast, secure communication between agents, clients, and title partners. With operations spread across multiple offices and a heavy reliance on digital platforms, data privacy and transaction integrity are crucial to maintaining client confidence and ensuring regulatory compliance.
Time To Remediation: 45 Days
compromised accounts secured and protected with MFA.
infected devices reimaged and restored safely.
phishing reduction within 45 days.
client data lost or contracts impacted.
The Challenge
In February 2025, CybrogenIT was contacted by a growing real estate brokerage with 16 employees after several agents reported missing emails and clients receiving suspicious property links. The firm relied heavily on cloud-based CRMs, email marketing, and electronic document platforms to manage listings, contracts, and closings all of which made them an appealing target for cybercriminals.
A rapid assessment revealed five compromised user accounts, four infected laptops, and seven dark web findings linked to employee credentials. Attackers had gained access through a phishing campaign disguised as DocuSign notifications, enabling them to log into the brokerage’s systems and send fake property listings to clients.
Within 48 hours, over 200 phishing emails were sent from the firm’s domain, redirecting recipients to a malicious login page. Additionally, three look-alike domains had been created to impersonate the company’s website. Sensitive deal data and client communications were confirmed to have been exposed. Without immediate action, the firm risked contract fraud, reputational harm, and possible legal exposure from compromised real estate transactions.
What We Did
CybrogenIT launched an emergency containment and remediation plan to halt the attack, safeguard client data, and restore the brokerage’s security posture.
Incident Response & Containment
Disabled compromised accounts and forced credential resets across all users.
Disconnected infected laptops and cleaned ransomware and stealer logs.
Shut down malicious sessions and blocked unauthorized access to the CRM and document platforms.
Email & Domain Security
Configured SPF, DKIM, and DMARC to block future email spoofing attempts.
Deactivated three look-alike domains and submitted takedown requests to registrars.
Implemented AI-driven phishing protection and URL scanning for all incoming and outgoing messages.
Credential & Identity Protection
Enforced multi-factor authentication (MFA) across the brokerage’s email, CRM, and cloud systems.
Deployed dark web monitoring for real-time credential exposure alerts.
Introduced single sign-on (SSO) to simplify secure access and reduce password reuse.
Data & Compliance Safeguards
Verified that no active property contracts were modified or lost.
Migrated sensitive deal data to an encrypted cloud environment.
Developed a formal data handling and breach notification policy aligned with state real estate regulations.
Employee Training & Continuous Monitoring
Conducted cybersecurity awareness and phishing simulation training for all staff.
Deployed 24/7 SOC and SIEM monitoring to detect and respond to any future anomalies.
Created a standard incident response playbook for new offices and agents.
The Results
- 5 compromised accounts secured with MFA and monitoring.
- 4 infected laptops reimaged and protected with next-gen EDR.
- 7 dark web exposures resolved, removing stolen credentials.
- 3 look-alike domains deactivated, ending impersonation attempts.
- 90% reduction in phishing attempts across all email accounts.
- 100% client data integrity maintained, with no financial losses or transaction interference.
Key Takeaway
Real estate companies are frequent targets of phishing attacks due to their high volume of financial transactions and client communications. In this case, attackers exploited email trust and brand impersonation to steal credentials and client data. CybrogenIT’s swift containment, identity protection, and 24/7 monitoring not only stopped the attack but positioned the firm to handle future threats proactively, protecting every agent, client, and transaction.
